Administrator - Project Support

Reporting into the Branch Manager – Project Support Group, the Project Administrator is responsible for providing a high level of administrative support to the designated area/store/team/branch. The position is responsible for coordinating team rosters, training matrices, personnel qualifications all required audits (Safety, Quality, CPS and CC) and ensuring compliance with relevant WesTrac policies and procedures.

 

Roster:  Mon – Friday, 8.5 hours per day (including meal breaks)

Location: Welshpool, WA

 

What you’ll do:

  • Provide high-level administrative support to the designated area/store/team/branch
  • Coordinate team logistics, including rosters, training matrices, audits, and compliance
  • Manage site mobilisation requirements, ensuring accurate time-sheet entries and induction processes
  • Oversee work order administration, labour entries, purchase orders, and warranty processing
  • Maintain inventory control, including safety supplies (PPE), uniforms, and departmental stationery
  • Deliver exceptional customer service, liaising with internal and external stakeholders to ensure timely payments
  • Support additional tasks as required to assist various branches and locations

 

Skills and Experience:

  • Strong administrative skills with at least 2 years of relevant experience
  • Excellent communication—interpersonal, written, and verbal
  • Exceptional customer service with ability to build and maintain relationships
  • Advanced computer literacy—proficiency in MS Office and internet-based applications
  • High attention to detail and ability to identify continuous improvement opportunities
  • Strong time management and organisational skills to handle multiple priorities
  • Ability to work both independently and collaboratively in a team environment
