Talent Acquisition Coordinator

WesTrac is seeking a highly organised and proactive Talent Acquisition Coordinator to join our Talent Acquisition team based at our Tomago Head Office. Reporting to the Talent Acquisition Manager, this role is responsible for coordinating recruitment operations and delivering a seamless candidate experience from offer through to onboarding.
Working closely with recruiters, hiring managers and candidates, you will play a critical role in keeping recruitment processes moving efficiently, managing recruitment administration, pre-employment activities and onboarding coordination. This role will also contribute to process improvements, automation opportunities and the continuous enhancement of recruitment workflows to support a high-performing Talent Acquisition function.
Key responsibilities
- Provide high-level administrative and coordination support to the Talent Acquisition team.
- Support end-to-end recruitment activities across a variety of roles and departments.
- Coordinate recruitment operations including scheduling, pre-employment checks and onboarding activities.
- Manage employment contracts, offer documentation and candidate communications throughout the hiring process.
- Act as a key point of contact for candidates, hiring managers and internal stakeholders to ensure a positive recruitment experience.
- Coordinate labour hire administration and support workforce onboarding requirements.
- Maintain accurate recruitment data and ensure compliance across recruitment systems and processes.
- Identify opportunities to streamline, standardise and improve recruitment administration through automation and continuous improvement initiatives.
Skills and Experience
- Demonstrated experience in recruitment coordination, recruitment administration, HR administration or a similar support role.
- Strong organisational skills with the ability to manage multiple priorities and deliver outcomes in a fast-paced environment.
- Exceptional attention to detail and ability to manage contracts, compliance activities and candidate records accurately.
- Strong stakeholder management and communication skills, with the ability to build positive relationships across all levels of the business.
- Experience coordinating interviews, medicals, references, onboarding activities and employment documentation.
- Continuous improvement mindset with an interest in process optimisation, technology, automation and improving user experience.
