About the Opportunity

WesTrac is seeking a highly organised and proactive Talent Acquisition Coordinator to join our dynamic team. Based at our Tomago Head Office and reporting to the Talent Acquisition Manager, this role plays a pivotal part in supporting end-to-end recruitment operations. You’ll provide high-level administrative and coordination support to a team of recruiters, acting as a key liaison for candidates and hiring managers throughout the recruitment lifecycle.

In addition to supporting day-to-day recruitment activities, you’ll take ownership of key projects including bulk hiring campaigns, international talent sourcing, and apprentice and graduate intakes. You will also be responsible for proactive candidate search and sourcing across various platforms, building talent pipelines for critical roles, and engaging passive candidates to support strategic hiring needs.

This is a fast-paced role that requires strong attention to detail, excellent communication skills, and the ability to manage competing priorities. Key Accountabilities

  • Provide high-level administrative and coordination support to the Talent Acquisition team.
  • Act as a key point of contact for candidates and hiring managers throughout the recruitment lifecycle.
  • Support end-to-end recruitment activities across a variety of roles and departments.
  • Coordinate and execute bulk recruitment campaigns, including international sourcing and apprentice/graduate intakes.
  • Conduct proactive candidate search and sourcing across multiple platforms (e.g. LinkedIn, Seek, internal databases).
  • Build and maintain talent pipelines for critical and hard-to-fill roles.
  • Engage passive candidates to support strategic hiring needs and future workforce planning.
  • Answer candidate enquiries via phone and email, ensuring timely and professional communication.
  • Book interviews, pre-employment medicals, and other assessments as required.
  • Maintain accurate candidate records and data across various recruitment systems.
  • Coordinate travel and accommodation for candidates relocating domestically and internationally.
  • Assist with onboarding activities to ensure a smooth transition for new hires.
  • Support recruitment reporting and data tracking to monitor performance and identify improvement opportunities.

 Skills and Experience

  • Proven experience in recruitment coordination or administration, ideally within a fast-paced environment.
  • Strong communication skills with the ability to engage confidently with candidates and stakeholders.
  • Proficiency in proactive candidate sourcing across platforms such as LinkedIn, Seek, and internal databases.
  • Excellent organisational skills and attention to detail, with the ability to manage competing priorities.
  • Ability to maintain accurate candidate records and data across multiple systems.
  • Experience booking interviews, medicals, and coordinating onboarding activities.
  • Capability to coordinate travel and accommodation for relocating candidates.
  • A collaborative and proactive mindset, with a focus on continuous improvement and stakeholder engagement.
