Service Advisor | Component Rebuild Centre
About the role
Our Component Rebuild Centre (CRC) at WesTrac Tomago is looking for a skilled Service Advisor to join the team and support our component rebuild operations. This is a full-time position, Monday to Friday, offering an opportunity to contribute to a leading equipment dealer.
Reporting to the Area Manager, the Service Advisor is responsible for estimating rebuild job costs, ensuring compliance with standards, and meeting targets to drive productivity and profitability. The Service Advisor will manage project scopes for rebuilds, including initial and final plans, time and resource estimates, preparing parts lists and Bills of Materials (BOMs), quotes, and variations. The role will also focus on problem-solving, developing standards and processes, and leading continuous improvement initiatives to enhance team efficiency, consistency, and productivity.
Placing a key focus on customer relationships, the Service Advisor will ensure clear and effective communication with both internal and external stakeholders regarding job requirements, parts requirements and status updates.
Key Responsibilities
- Analyse rebuilds jobs and projects to assess their viability whilst developing and implementing plans to ensure successful outcomes
- Prepare and review scopes of work and estimates, ensuring pricing documents accurately reflect all special terms, conditions, assumptions, and requests
- Verify plans and requirements for accuracy and completeness, considering special equipment or tooling needs, and provide technical input on estimating in line with applicable standards
- Create accurate cost estimates by factoring in all project elements such as materials, labour, development, revisions, and repairs, while estimating time, calculating supplies, and coordinating with procurement on pricing and availability
- Prepare and review quotes, including subcontract work, monitor job hours for accuracy, and investigate discrepancies between quoted and actual costs
- Maintain a library of standard pricing, regular jobs & quotation data
- Build and maintain strong relationships with internal and external stakeholders, resulting in a clearer understanding of rebuild forecasts and requirements
- Identify opportunities for continuous improvement to enhance processes, drive efficiencies and improve customer service
Skills & Experience
- Demonstrated experience within a project management or estimating role
- Experience with pricing and planning systems and tools (MS Project, Smartsheet, Uptake, Excel)
- Familiarity with Caterpillar products (desirable)
- Excellent organisational skills with proven ability to manage fluctuating workloads
- Ability to problem solve whilst having well-developed analytical & decision-making abilities
- Excellent customer service skills with the ability to develop strong positive relationships
- Communication skills with well-developed negotiation & conflict resolution skills
- Computer literacy skills – MS Office
