Project Coordinator – Machine Rebuilds

WesTrac’s Rebuilds Team is growing, and we’re searching for an organised, customer‑focused Project Coordinator to support our 24/7 operation in Tomago. Our workshop delivers major machine rebuilds on large‑scale surface mining equipment, supporting customers right across NSW and the ACT.
Reporting to the Project Manager, you will play a key role in coordinating the full project cycle - from planning through to delivery and reporting. You will take ownership of each rebuild from start to finish, ensuring projects run smoothly, stay on schedule and deliver exceptional outcomes for our customers.
In this fast‑moving environment, your day will be filled with variety. You will scope work, schedule jobs into the workshop, coordinate with supervisors and technicians, provide customer updates, monitor budgets, and keep communication flowing across multiple teams. You will be the critical link between the customer and the workshop - ensuring every project is delivered safely, efficiently and to the highest standard.

What You’ll Be Doing
- Managing the full project lifecycle - from planning to delivery
- Collaborating with internal teams to ensure smooth and efficient project execution
- Building and maintaining strong customer relationships, with clear and timely communication
- Managing all project requirements within the workshop
- Providing forecasts, updates and detailed progress reporting
- Monitoring budget performance and escalating issues early
- Ensuring projects meet all time, cost and quality expectations
What You’ll Bring
- Experience in civil or industrial project management (highly regarded)
- Mechanical or Electrical Trade background, or a Project Management qualification (desirable)
- Experience working with mining equipment in a repairs or overhaul environment
- Knowledge of Caterpillar equipment and systems (advantageous)
- Strong stakeholder engagement and communication skills
- Excellent planning, coordination and problem‑solving abilities
- Confident use of Microsoft Project or similar project management tools
