Administrator - Service Operations

Reporting to the Area Manager – North West, as the Administrator – Service Operations, you'll play a vital role in delivering high quality administrative support to our team located in Port Hedland.  

The Port Hedland Administrator supports the regional branch and collaborates with our Perth‑based OPS team to deliver a broad range of administrative and customer service tasks aligned to our RACI framework.

Roster:  Mon – Fri 7.5 hours per day (including unpaid meal breaks) 

Location: Port Hedland Branch 

 

What you’ll do: 

 

  • Follow all company and site safety requirements to support a zeroharm environment and actively contribute to a strong customercentric culture.
  • Provide administrative support across branches and sites, including timesheet compliance, processing temporary transfers, coordinating urgent site mobilisations (travel, accommodation, medicals, inductions, PPE, IT access), and maintaining work schedules and key personnel records.
  • Support purchasing activities by working with OPS on planned tasks while managing branch maintenance and urgent work orders, including obtaining quotes, raising purchase requisitions, receipting goods and services and coordinating new vendor setups.
  • Maintain organised and accessible archives, ensure compliance with WesTrac policies and procedures, and coordinate staff training requirements. 
  • Assisting with Port Hedland property management, including key control, vendor access, property condition checks, maintenance coordination, raising PRs for repairs and FIFO amenities, managing contractors, and supporting FIFO property fit‑outs and inventory.  

 

Skills and Experience:  

 

  • Relevant administrative qualification at tertiary level or several years’ experience working in a similar level influencing role 
  • Professional level of computer literacy and data entry skills 
  • Effective communication skills including active listening, asking appropriate questions, clarifying the issues and expressing oneself clearly 
  • Customer service orientation 
  • Attention to detail and accuracy 
  • Adaptability including the ability to perform efficiently in different environments and with diverse tasks and people 
  • Stress tolerance and the ability to maintain satisfactory work standards under pressure
