Service Support Coordinator

Reporting into the Warranty Manager, the Service Support Coordinator will join our team on a 12- month fixed term basis at our Guildford Branch. This role supports the WA Service Operations and Payroll by managing the Time Capture systems and DBS/IDS Service Helpdesk. It handles help desk queries, provides process guidance, resolves system issues, and trains staff in effective Time Capture and DBS/IDS use to ensure accurate data. It also oversees document control, including creating and updating all service documentation.

Roster: Monday – Friday, 8.5 hours/day (including meal break)

 

What You’ll Do:

  • Manage and resolve Time Capture and DBS helpdesk enquiries, ensuring accurate logging, correct approvals, timely closure, and compliance with Enterprise Agreements.
  • Maintain system data and configurations, including employee setups, schedules, pay codes, work order financials, user access, and contractor onboarding.
  • Support payroll accuracy by processing adjustments, resolving pay issues, and ensuring timesheets and transfers are completed correctly and on time.
  • Oversee document control and general administration, including updating service documentation, processing purchase orders, coordinating training, managing job opening/closing, and ensuring accurate service report entry.

 

Skills & Experience:

  • Excellent communication and customer service skills, with the ability to build effective working relationships.
  • Advanced computer skills, including MS Office and online applications.
  • High attention to detail, with a focus on accuracy and continuous improvement
  • Strong time‑management and organisational abilities, able to manage multiple priorities independently and within a team.
  • Proven capability in developing and maintaining procedures, processes, and documentation
  • Knowledge of DBS, Timekeeper and related policies and procedures (desirable)
