Are you an administrative professional looking to make a significant impact? WesTrac is seeking a Procurement Services Officer to join our evolving Procurement Department.

 

This pivotal position supports the team and ensures our processes are efficient, compliant, and well-managed.

 

Location: South Guildford, WA

Type: Permanent Part-Time, 3 days per week – 8.5-hour days (inclusive of 30min unpaid meal break)

Roster: Monday – Wednesday

 

Key Responsibilities:

  • First Point of Contact: Manage non-transactional communications and support requests via HelpDesk, Teams, and shared mailboxes.
  • Compliance & Performance Reporting: Prepare and facilitate periodic and ad-hoc performance and compliance reports, ensuring regulatory and legislative compliance.
  • Document & Records Administration: Oversee the management and updating of controlled documents and maintain the Procurement Document Control System and SharePoint libraries.
  • Business Intelligence Administration: Monitor and support the implementation of new BI requirements.
  • Vendor Pre-qualification & Approval: Handle new vendor requests, due diligence, scope-of-work validation, and vendor lifecycle management.
  • SAP/Ariba Vendor & Systems Administration: Enable vendors, manage master data, provide training, and handle technical incidents.
  • Contractor Onboarding & Security Access: Manage contractor requests, validate licenses, and facilitate security access.
  • Continuous Improvement: Identify and deliver CI initiatives, track progress, and report status.

 

What You Bring:

  • Tertiary qualification in Finance, Commerce, Procurement, or related fields (preferred but not essential)
  • Advanced knowledge of SAP Procure-to-Pay (P2P) processes, SAP MM and FI modules, SAP Ariba platforms, and SAP Open Text Vendor Invoice Management.
  • Exceptional time management, attention to detail, problem-solving, and the ability to manage multiple priorities.
  • Strong ability to communicate at all levels and manage confidential matters.
  • Ability to work both autonomously and within a team.
  • Advanced skills in SAP, Ariba, and Microsoft Office365.
  • Experience in developing test scripts, completing SAP/Ariba UAT, establishing and maintaining Ariba Vendor Catalogs, and managing SAP Open Text Vendor Invoice Management processes (Desirable).
