Reporting into General Manager – Warehouse Inventory and Logistics, the Personal Assistant will join our Warehouse & Logistics team on a Full-Time basis at our Guildford PDC Office.

 

Roster: Monday to Friday, 8.5 Hours per day (including meal break)

 

What You’ll Do:

  • Manage the General Manager’s and leadership team’s diary appointments, records and correspondence.
    • Incoming:
      • Assess and prioritise requests to facilitate the optimal use of the leader’s time.
      • Provide pre-reads in advance, assisting in meeting set-up and ensuring adequate travel time in between appointments.  Coordinate Travel arrangements as required.
    • Hosting:
      • Schedule, set-up and support meetings to facilitate the effective management of their agenda
      • Take minutes and distribute for actioning.
  • Collate and edit the Warehouse & Logistics portion of the WesTrac Board report or Board Papers, ensuring grammar / spell check is completed and correct format and templates utilised. 
  • Support annual Business Plan process by gathering, collating and putting in template the initial documents for the plan.
  • Provide general and Adhoc Admin and support to the teams including, but not limited to, management of the PR / PO and invoicing process, booking of travel, management of stationary etc.
  • Prepare reports, presentations and documents. Collate reports and create PowerPoint presentations within area of assigned activity.
  • Establish and maintain leave schedule of the Warehouse, Facilities and Logistics Division.

 

Skills & Experience:

  • Significant proven experience working in corporate or a business environment, along with executive administrative support at a senior level within a medium to large corporate environment.
  • Demonstrated ability to exercise initiative, discretion, sound judgement, high level of professionalism and confidentiality always.
  • Robust interpersonal skills to build and maintain relationships with all internal and external stakeholders.
  • Experience with expense management and approvals.
  • Ability to prioritise and forward plan, with a high degree of attention to detail.
  • Outstanding written and verbal communication skills
  • Demonstrated ability to work well with others and influence to reach optimal outcomes.
  • Have flexible availability with regards to hours of work, depending on daily business requirements
