THE ENGINE BEHIND THE TEAM
Reporting to the Engineering Manager, the Engineering Administrator will join our Engineering team on a permanent basis at our South Guildford Parts Distribution Centre. Providing day-to-day administrative support, including onboarding and offboarding, office equipment’s and tools management, purchasing, travel coordination, timesheets, training, reporting, document control, calendar management, and the coordination of engineering jobs and queries. The role also supports safety and wellbeing initiatives, business planning activities, and team projects, while taking responsibility for Quality Assurance (QA) audit preparation and specialist engineering system administration.
Department Overview: Design Engineering - Designing, developing, and delivering innovative engineering solutions that enhance equipment performance, safety, and operational efficiency.
Roster – 5 Days, 8.5 Hrs/Day
What You'll Do:
- Provide Administrative Support to the Engineering Team – Coordinate onboarding/offboarding, travel, purchasing, timesheets, calendars, reporting, and day-to-day team administration.
- Manage Engineering Data, Records & Systems – Maintain document control, engineering records, filing structures, system access, licences, and data quality across engineering platforms.
- Coordinate Quality Assurance & Compliance Activities – Prepare and support internal and external audits, ensuring compliance with ISO 9001 requirements, policies, and procedures.
- Support Engineering Operations & Continuous Improvement – Coordinate incoming work requests and engineering queries while identifying opportunities to improve administrative processes, systems, and team efficiency.
Skills & Experience:
- Advanced Administration & Coordination – Minimum 3 years' experience providing high-level administrative support within an engineering, manufacturing, or technical environment.
- Systems & Document Management – Experience managing engineering records, document control systems, PLM/CAD software, and maintaining data accuracy and compliance.
- Organisation & Time Management – Strong ability to manage multiple priorities, coordinate competing demands, and support a large team effectively.
- Communication & Stakeholder Engagement – Excellent customer service, interpersonal, written, and verbal communication skills with the ability to build relationships across technical and non-technical teams.
