Operations Support Administrator

As an Operations Support Administrator, you will report to the Operations Support Admin Supervisor and play a key role in supporting our Regional WesTrac branches and contracts. This position is focused on providing high-quality administrative and internal customer support with a focus on coordination of our regional WesTrac residential properties. You will be instrumental in ensuring smooth day-to-day operations and maintaining strong relationships with occupants, agents, contractors, and internal teams.

 

 

Roster:  Mon – Fri 8.5 hours per day (including unpaid meal breaks)

Location: South Guildford, WA

 

 

What you’ll do:

  • Provide prompt and professional customer service to team member occupants, contractors, and internal stakeholders
  • Manage property-related tasks such as utility payments, maintenance coordination, inspections, and lease documentation
  • Respond to inquiries, resolve issues, and manage complaints with a solutions-focused approach
  • Perform a range of general administrative duties including data entry, document management, and reporting
  • Liaise with internal departments and external service providers to ensure timely service delivery
  • Maintain accurate records and databases related to property and operational activities
  • Support scheduling, calendar management, and operational logistics across multiple sites
  • Identify and escalate operational challenges while contributing to process improvements
  • Collaborate with team members to meet departmental goals and share best practices

 

 

Skills and Experience:

  • Experience in an administration or similar role. Previous administration of real estate or property management is an advantage.
  • Advanced time management, planning and organisational skills with the ability to manage multiple priorities to meet objectives
  • Professional level of computer literacy and data entry skills
  • Excellent attention to detail with proven administrative skills
  • Effective communication skills including active listening, asking appropriate questions, clarifying the issues, and expressing oneself clearly
  • Excellent customer service skills with the ability to build and maintain successful working relationships
  • Adaptability including the ability to perform efficiently in a diverse environment
  • SAP experience will be highly advantageous
