Administrator - Service Operations

Reporting into the Branch Manager, the Administrator – Service Operations will be working on a fulltime basis from our Bunbury office and is responsible for daily filing of jobs, answering incoming customer queries, organising new starters access and uniforms and handling site entry forms.

 

Roster: 5 days on 2 days off (Mon – Fri), 10 Hours per day

Location: Bunbury, WA

 

What you’ll do:

  • Support the field service team by completing site entry forms, managing the field service truck fleet, ensuring accurate inspections, answering calls, daily job filing, and handling customer queries.
  • Organise new starters by arranging access, uniforms, and raising purchase orders (POs).
  • Managing purchase requisitions and overseeing the purchasing process.
  • Handling time capture reporting and organising work scope books.
  • Maintaining archives and ensuring compliance with WesTrac policies.
  • Managing training requirements and conducting safety and contamination control audits.
  • Building positive relationships with customers and internal stakeholders.

 

Skills and Experience:

  • Previous experience working in a similar role
  • Professional level of computer literacy and data entry skills
  • Experience using SAP
  • Effective communication skills including active listening, asking appropriate questions, clarifying the issues and expressing oneself clearly
  • Customer service orientation
  • Attention to detail and accuracy
  • Adaptability including the ability to perform efficiently in different environments and with diverse tasks and people
  • Stress tolerance and the ability to maintain satisfactory work standards under pressure
